What Can Team Members See in ShiftFlow?
When you invite team members to ShiftFlow, a natural question is what they will be able to see. Account owners and managers often want to make sure team members will not see each other’s activity, shifts, schedules, time off, pay rates, or other sensitive records.
You’re in Charge
Regular team members can only view their own timesheets and pay information. Timeline events are limited to their personal activity, and they cannot modify time entries or account-level settings. Any time off or time correction requests are sent to admins for approval.
Managers, admins, and owners have broader visibility so they can run scheduling, attendance, payroll review, and account settings.

What Team Members Can See
Team members can access:
- Their own clock-in and clock-out times
- Their own timesheets, past shifts, notes, and shift history
- Their own pay information and pay rates
- Their own time off, time correction, schedule claim, and release requests
- Their own assigned shifts and available open shifts
- Shared team resources that your business makes available, such as chat or published schedules
What Team Members Do Not See
Regular team members do not get manager-level access. They do not see:
- Other team members’ private timesheets or pay rates
- Other team members’ private location history or clock-in proof
- Payroll reports, labor cost reports, exports, or account-wide attendance records
- Account settings, role permissions, billing, or business configuration
- Team-wide management timelines unless their role allows that access
What Managers, Admins, and Owners Can See
Managers and higher roles may see:
- Team-wide clock-in and clock-out activity
- Location data collected for work shifts
- Schedule requests, time correction requests, and time off requests
- Team timesheets, reports, and attendance history
- Pay rates and payroll-related records needed to manage the account
Summary
Team members do not get blanket access to each other’s private records. They can see and manage their own work information, while sensitive account-wide information stays with the people who manage the account.
